TERMS & RESOURCES / REVIEW DRAFT

Privacy & applicant information

How HOWL handles portal records, forms and the information you choose to share.

Draft for legal review · Not in force.
These proposed terms must be approved by qualified transportation counsel and aligned with HOWL’s legal entity, operating jurisdiction, insurance and signed contracts before use. They do not amend existing agreements or remove rights that cannot lawfully be waived.
Version 0.2 · October 18, 2026 · No effective date

01Scope and current functionality

The public BOL tool and claim/incident preparation tools process entered details on your device. Public quote and procurement forms prepare an email draft that you send yourself. The portal stores authenticated account, shipment and document records in the HOWL application database. Careers applications submitted on the careers page are also stored. Customer shipment status reflects updates entered by the HOWL team, rather than GPS location. See the portal records section below for electronic signing and account information.

02Information requested

The quote form requests business contacts and shipment details. The driver-interest form requests contact details, location, role preference, licence class, experience and optional comments. Do not enter licence numbers, identity documents, social insurance or social security numbers, banking information, medical information or sensitive records into these forms.

03Purpose of an emailed enquiry

If you choose to send an email, the recipient receives what you send. Freight details are provided to respond to your transport request; driver-interest details are provided to discuss suitable opportunities. Sending an initial enquiry is not authorization for unrelated marketing, credit checks, criminal checks or unrestricted sharing.

04Applicants and future recruitment

The initial form is an expression of interest, not a complete regulated driver qualification application or an employment offer. Any later checks, references, verification or collection of sensitive records require an appropriate lawful process, clear notice and consent where required. Equal consideration and reasonable accommodation should be available through the recruitment contact.

05Access, correction and questions

Contact dispatch@howltrans.com with a privacy or correction request, identifying only what is needed to locate the relevant correspondence. The organization must verify requests proportionately and respond as required by the applicable law. Do not send new sensitive identification unless a secure and necessary process has been explained.

06Retention and service providers

The operator must publish its actual hosting/email providers, storage locations and retention/deletion practices before launch. The portal retains business records and signing evidence; it does not automatically delete historical shipment or signing records. Email records and legal holds must be handled according to the actual policy and law.

07Cookies and browser storage

The application code does not set analytics or advertising cookies and does not save form entries in local storage. Your hosting platform may use access or security mechanisms. A downloaded enquiry file remains on the device you choose. Clearing form fields does not delete an email or downloaded file.

08Changes

Update this notice when the actual data practices change. New purposes require appropriate notice and legal authority, including consent where applicable. Merely updating a web page does not retroactively authorize an incompatible use of applicant information.

Portal accounts, applications and electronic records

The HOWL portal stores staff and customer account information, business contacts, shipment records, documents, uploaded files, job applications and training completion. Passwords are stored as salted hashes. Authorized HOWL personnel use these records to operate transport services, manage accounts and follow up on applications.

Electronic signing records include the document version, signer name, title, email, consent, signing time, network address and browser information. Completed documents are emailed to the recipient and designated HOWL contacts. Customer access is restricted to its linked account. Contact dispatch@howltrans.com about access, correction or record requests.

Job applications submitted on the careers page are stored for recruitment review. Do not include government identification, medical or banking information in an initial application. Essential session cookies maintain sign-in; the portal does not add advertising trackers.
